Overview

The Bookings Specialist is responsible for efficiently and accurately entering projects into LN, reviewing contract documents, proposals and P&L’s. This role requires strong organizational, communication, and problem-solving skills to ensure smooth operational flow and customer satisfaction. The Bookings Specialist will act as a point of contact for booking requests and will work closely with various team members, including Project Managers, Account Managers, and Project Accountants.

Responsibilities

    • Receive booking requests for new projects.
    • Accurately record all booking details, including client information, project details, financial details and contract details.
    • Attend SHO’s and Kick Off meetings for projects.
    • Utilize booking software to create and manage bookings.
    • Communicate booking confirmations and relevant details to internal teams.
    • Maintain up-to-date and accurate records of all bookings, including changes, cancellations, and confirmations.
    • Ensure all relevant documentation is completed and filed appropriately.
  • Serve as a primary point of contact for booking inquiries and provide excellent customer service to our Project Managers and Account Managers.
    • Address booking-related concerns and resolve issues in a timely and professional manner.
    • Assist with other administrative tasks within Project Accounting as needed.
    • Adapt to changing project requirements.

Qualifications

  • High school diploma or equivalent required; Associate's degree or vocational training in a related field preferred.
  • Proven experience in a booking, or administrative role, preferably within the construction or related industry.
  • Strong organizational and time-management skills with the ability to prioritize tasks and manage multiple requests simultaneously.
  • Proficiency in using computer software, including Microsoft Office Suite (Word, Excel, Outlook).
  • Experience with ERP software or database systems is highly desirable.
  • Ability to work independently and as part of a team.
  • Strong attention to detail and accuracy.
  • Problem-solving skills and the ability to make sound decisions under pressure.
